Instructions
Where more than one Computer is used, as part of a Network in the practice, please ensure that the update is done on the
server. The server and all the other workstations must be logged out of Optimax. Failure to follow this instruction will result in very serious data problems occurring.

Enhancements relating to this update:
1) ICD10 codes ( see below)
2) Ability to print statements already e-mailed
3) Storage of digital images of stock items

5) Apply PPN rules to schemes using non PPN codes

ICD10 Codes
As you are very much aware from the 1st July, 2005 you are required to submit ICD10 codes at line item level for all items charged. This obviously excludes lines like discounts and payments. All professional fees, lenses, extras, frames etc must have these codes. Failing to provide these codes will result in the claims being rejected by the medical schemes. To complicate the matter there are Primary ICD10 & secondary ICD10 and the Primary code must always appear first, followed by the others. One charge item may have more than one code.
What has Optimax done to make your life easier ?
From the Prescription and the tariff codes it is possible to perform a calculate interpretation and come up with a diagnosis. This is called a Proxy diagnosis as it is not supplied by the professional performing the diagnosis but implied from the information supplied.
Procedure – invoicing is as normal except extras must now be done per lens and you must not simply insert a quantity of x 2. This is important as the diagnosis may differ per lens. After you have completed the invoice save as normal. A screen will pop up displaying all the ICD10 codes automatically applied to the line items. At this point the codes may be edited should you not agree with the Proxy Diagnosis applied. Click on the line you wish to edit. You can then manually add or delete codes or click on the drop down arrow. A list of codes will be displayed with the selected codes highlighted. To unselect, click on this line & then click on the new code to be selected. This will now be highlighted. Click on the “OK” button and the new codes are then allocated to your invoice.
Please remember that the responsibility lies with the optometrist to allocate the ICD10 codes. The Proxy diagnosis, in certain circumstances will not be correct and never can be 100% correct, thus it is your responsibility to ensure that prior to submission you are satisfied with the selection. Optimax cannot be held liable for disputes with the medical schemes.
